Office Administrator
The candidate will acts as a liaison between the Silicon Valley office and other offices regarding administrative details, working closely with the Senior Office Services Manager. Work very closely with the Sr. Support Svc Manager and HR to coordinate secretarial workflow, coverage and hiring. Establish a leadership presence that embodies the firm values and standards, incorporating continuous improvement as part of the forward-thinking culture of the office. Support projects and initiatives which include IT projects, HR initiatives and client events, etc.. Communicate effectively and efficiently through the various channels of the office and the Firm, keeping all parties advised on a need-to-know basis. Communicate and reinforce written policies and procedures covering the Silicon Valley office in consultation with all appropriate parties. Manage and oversee the daily operations of the office and coordinate the secretarial and office services staff to ensure efficient delivery of services to all colleagues. Facilitate orientation and onboarding, training, and performance management of direct reports. Collaborate on the office's staff recruiting efforts, working with the US recruiting team as necessary, to facilitate the hiring of top-tier candidates that will directly contribute to the Firm's success. Work with the COO to actively manage headcount, identifying opportunities to improve efficiency while maintaining service levels. Be mindful of employee morale, promoting positive working relationships and a team-based atmosphere. Work with Human Resources Business Partners on employee relations issues in the office. Stay abreast of changes in workplace best practices and liaise with HR to ensure the implementation of labor legislative compliance requirements for the Silicon Valley office. Liaise with the accounting team in the New York office to ensure that adequate procedures and controls are in place and maintained for the Silicon Valley office. Review and process for payment invoices from vendors pertaining to the office following established policies and procedures (or implementing where none exist). Participate in the budget planning and monitoring for the office. Review budgets, invoices, vendor payments, etc., on a regular basis to ensure adherence to budget and prepares variance analyses and explanations when necessary. Lead the efforts towards appropriate expense management throughout the office, including following travel guidelines. Oversee purchases and acquisition of goods and services to the Firm, establish and maintain professional relationship with vendors ensuring that we are getting the highest quality service at the most competitive rates. Bachelor's degree is required. Should have 5-7 years' experience as an Office Administrator or senior-level business manager, preferably in a law firm with multiple offices and a matrixed management structure.
