Job Description
Department(s): Program of All-inclusive Care for the Elderly (PACE)
Reports to: Manager Quality Improvement (PACE)
FLSA status: Non-Exempt
Salary Grade: D - $21.1538 - $27.8846 ($44,000 - $58,000)

Job Summary

The Administrative Assistant supports administrative activities and duties related to the PACE Quality Improvement Manager as well as the PACE Program Director.

Position Responsibilities:


  • Provides administrative support to the PACE Program Director for specific and ongoing projects and maintains calendars and mailings.
  • Maintains internal PACE personnel files to ensure compliance with Centers for Medicare & Medicaid Services (CMS) and Department Health Care Services (DHCS) regulations.
  • Coordinates PACE Leadership, Quality, and All-Staff meetings as well as prepares all relevant materials related to upcoming meetings. Completes meeting minutes and submits to the respective teams in a timely manner.
  • Provides technical support for PACE meetings.
  • Prepares required documents for CalOptima Board Meetings as requested by PACE management.
  • Serves as a liaison between PACE leadership and departmental staff; may follow-up on the progress of projects and activities assigned to other staff.
  • Coordinates the annual participant satisfaction survey with an outside vendor.
  • Coordinates staff events and trainings.
  • Coordinates travel arrangements in accordance with CalOptima's travel policy. Registers staff for conferences and seminars.
  • Determines priority of matters of attention for the PACE leaders; redirects matter to staff or handles matters personally, as appropriate. May coordinate work with other administrative staff or play a key role in the coordination of staff efforts within the department.
  • Maintains confidential and sensitive information and files regarding management projects and policies ensuring appropriate follow-up.
  • Other projects and duties as assigned.


Possesses the Ability to:


  • Create and maintain spreadsheets to track scheduling and service delivery functions.
  • Routinely perform a wide variety of office support duties and set work priorities based on knowledge of various activities.
  • Coordinate multiple administrative activities at the same time and exhibit strong organizational skills.
  • Establish and maintain effective working relationships with CalOptima leadership and staff.
  • Communicate clearly and concisely, both verbally and in writing.
  • Utilize and access computer and appropriate software (e.g., Microsoft: Excel, Outlook, PowerPoint, Teams, Word), and other job-specific applications/systems (e.g., GoToMeeting) to produce correspondence, charts, spreadsheets, and/or other information applicable to the position.


Experience & Education:


  • Associates degree in Business Administration or relevant field or the equivalent combination of education and/or experience in administrative operations or a related field required.


Preferred Qualifications


  • 2 years of experience as an Administrative Assistant preferred.
  • 1 year of healthcare experience preferred.
  • 1 year of experience in supporting directors and managers preferred.



Knowledge of:





  • Administrative business practices and operations.
