Patent Administrator
The candidate will be responsible for certain phases of intellectual property docketing as well as the intake, review, and processing of electronic and print communications to and from the university as they relate to the ongoing invention disclosure, patent application preparation and patent application prosecution process, so as to ensure timely actions, as necessary, for the protection of the University’s intellectual property. Will also be responsible for creating and obtaining executed formal documents from inventors, populating and maintaining selected data fields in our patent database (Inteum), ensuring data integrity of the patent database, following up on any inaccurate, incomplete or required information, creating physical and electronic files for file retention and updating such files on a regular basis, preparing and sending selected types of correspondence to inventors and law firms in accordance with current Standard Operating Procedures, reviewing in-coming and outgoing documents for completeness and accuracy, and completing/coordinating other duties or special projects, such as report generation, as assigned by the Assistant Director of Intellectual Property or the IP Manager. Assists the IP Manager with timely data entry, tracking, storage and maintenance of electronic communications to and from the University as they relate to the ongoing process of invention disclosure, patent application preparation, patent application prosecution and issued patent maintenance. Prepares and drafts correspondences to the inventors in accordance with ORC’s current SOP’s (reporting of patent prosecution matters, such as filings, publications, issuances.) to timely keep the faculty apprised of the status of their respective Notices of Invention (NOI’s) and filed patent applications. Assists the IP Manager to ensure data integrity of the patent database. Responsible for timely data entry, storage and maintenance of all electronic and print correspondence related to formal documents. Diligent following up of any missing formal documents, inaccurate, incomplete or missing files, required data and creating and organizing physical and electronic patent legal files for patent file retention. Obtains in a timely manner executed formal documents from inventors (executed NOI’s, Assignments and Declarations) and Rutgers management for Power of Attorney’s, arranging for notary public when necessary and review of incoming and outgoing documents for completeness and accuracy for response to US Patent Office notifications and completeness of records. Obtains in a timely manner the necessary documentation (such as patents and publications) to prepare Information Disclosure Statement filings. Schedules meetings and conference calls, assist in special projects or other duties assigned by the Assistant Director of Intellectual Property or the IP Manager. Coordinates ORC monthly national phase deadline (DP3) triage meetings. Coordinates the annuity payment process, maintains database integrity, audits entered information for accuracy, keeps abreast of US and international processing rules, makes suggestions regarding process improvement.
