Office Administrator

The candidate will blend direct personnel supervision, operations, administration, facilities, events and hospitality and requires the ability to adapt to changing priorities and demands with little or no notice. Manage all office operational functions including delivery of support services by Executive Assistants (secretarial), conference center staff and office services (mail, document reproduction and hospitality). Interview and hire operations staff; conduct new hire orientations and training; conduct annual staff evaluations. Coordinate local attorney recruiting efforts – interviews, etc., under the direction of the Director of Legal Recruiting. Assist in budget preparation and forecasting, including salary budget and increases. Manage Guest Services team to plan and assist with regular partner meetings and office events. Oversee facility maintenance; serve as a liaison with local property management and work with building personnel and appropriate internal contacts. Oversee local Records and Library functions. Maintain office security protocol and ensure office meets proper business continuity obligations of the firm. Interface with vendors and manage invoice processing for operational costs. Serve as member of the firm-wide and global administrative operations team and work on projects and initiatives which enhance service delivery to internal and external clients. Bachelor’s degree is needed. Should have 5+ years working in a management role in a mid-size or larger professional services firm. Excellent problem-solving & follow-through is needed. Strong knowledge of Microsoft Office and DMS is needed.
