We are hiring for an Executive Assistant for our CEO and CFO at Hill Knowlton Strategies

In the Hill & Knowlton Strategies, UK we employ over 300 people and our stunning Clerkenwell offices run over two floors, encompassing a beautiful roof terrace and bar area, that is a great spot for client meetings and socialising with the wider agency.

KEY RESPONSIBILITIES:
Extensive pro-active diary management: organise meetings and appointments (internal and external). Prepare any relevant information for meetings
Ensure emails from H K Global Management are responded to swiftly and flagged to the CEO/CFO immediately
Act as company ambassador when dealing with external stakeholders, head-hunters, industry peers and senior client contacts
Arrange induction schedule for senior new starters and act as main point of contact at beginning of on-boarding process
Coordination of company meetings including regular ELC group and Directors’ Forum meetings. Liaising with Global admin team and WPP on meetings that CEO, CFO are expected to attend
Develop and maintain excellent working relationships with Sector MDs and other senior management, trusted with highly confidential information using discretion and diplomacy at all times
Maintain a helpful and resourceful manner with other senior colleagues (with H&K and WPP), using discretion at all times in relation to sensitive information
Support logistics for client meetings and agency events. Proactively manage all invites and attendee lists, organise meeting rooms, necessary refreshments and equipment as required; coordinate and collate relevant documentation/agendas in advance and provide support on the day, ensuring that all clients and external guests are well taken care of
Organise company social events and delegate tasks to the wider PA team when assistance is required
Liaise with Business Development team on speaking engagements for CEO, new business opportunities, industry events and H K events such as Creativity
Assist Talent Acquisition Lead with scheduling senior level interviews and coordinate availability for CEO to host in-house recruitment events
Management of domestic and international travel (collating in-depth and cohesive supporting documentation, schedules, and itineraries as necessary and booking catering/organising VISAs/transport/flights as required).
Liaising with other support teams as required e.g. IT, Legal, OM & Facilities and HR, in order to meet the needs of the business
Answering telephone calls. Screening calls or re-directing as appropriate
Provide holiday/illness EA cover for Global President when required
