Business Regulatory Compliance Administrator
Duties: Prepares, manages and maintains business registrations. Oversees and supports IRS Form 1099 filings and prepares related amendments. Will administer multi-state unclaimed property compliance, and s/he will provides general administrative support to the Tax Department and serve as a central point of contact for general inquiries. Supports a university accounting-related area or program. Coordination with Accounting Services to maintain timely and accurate filings and lead the Form 1099 filing process. Main point of contact for external and internal inquiries related to Form 1099. Managing, documenting, preparing, filing and furnishing Form 1099 corrections. Managing, documenting, preparing and filing unclaimed property. Manages financial operations and/or analysis in support of area/unit's mission & in coordination with central offices such as HR, Budget, Financial Aid, Facilities, Purchasing, IT, Provost, etc. Coordinating and communicating with multiple University units as to business registrations. Coordination with Accounts Payable and other units supplying reportable Form 1099 information, and researches possible corrections. Coordinating with a Payroll, Accounts Payable and Student Accounts to identify unclaimed property. Reviews a portfolio of multiple schools/depts' financial operations comprised of work that involves some complex problems and/or decisions. Researching and gathering relevant facts to prepare documentation for new business registrations/licenses and renewals. Implements existing policy & ensures the effective, compliant, and efficient completion of daily financial activities. Applies industry and professional standards, interprets university policy and procedure, federal and state laws, granting agency guidelines, and other regulations (as applicable). Drafting and reviewing business registrations and licensing applications in conjunction with an external registered agent. Ongoing maintenance: monitoring and ensuring timely compliance with state, local and federal business registrations. Developing and maintaining multi-state unclaimed property compliance. Represents and/or guides business area on internal and/or external financial affairs by exchanging information. Creates daily, monthly, annual, and/or project end analysis & reports regarding area/unit, grants and/or awards, accounts, funds, payroll, expense and/or revenue allocation, customer service activity, etc. Establishing and maintaining databases and recordkeeping for business registrations/licensing and unclaimed property. Performs financial account reconciliations, statement analysis, and transaction research. Updates financial systems for Form 1099 corrections. Prepares regular analysis of unclaimed property, prepares reconciliations and records reissued checks. Maintains, and updates financial models and analysis. Enters individual and/or summary of transactions into journals and/or general ledger or other NU enterprise system. Troubleshoots problems; performs vendor/account research as needed; obtains additional information from or provides instruction & guidance for customers/vendors; corrects or escalates. Provides financial policy interpretation to determine the validity of customer requests & ensure compliance. Contacts outside agencies, banks and/or banking systems to obtain clarification of rules and/or regulations. Works closely with external registered agent to understand registration/licensing requirements and compliance. Researches unclaimed property compliance and guidance issued by state agencies. Reviews status of related university accounts, transactions and processes; troubleshoots issues as needed. Processes & presents data & information through the application of database, graphic & spreadsheet software. Identifies sources for data & information to be used & completes special financial projects such as (enter in explanation of special projects): Performs general office support activities. Helps support main phone line for the Tax unit. Furnishing copies of tax forms. Provides general filings, word processing, mailing, photocopying and scanning for the Tax unit. Drafts and prepares mailings of unclaimed property notifications. Manages operation of or interaction with a computer system or system processes that support the area or program. Maintains and enhances database developed by registered agent to document business registrations/licensing. Develops databases to monitor unclaimed property compliance. Ensures that area service level goals are met. Provides training and support to related university units or program participants; maintains website and training materials.
