Profile

Global Support Services is seeking an Administrative Assstant III in Adelphi, MD. This position will support the Office of the Director and interacts with a wide range of program staff, DoD and military personnel. In addition, the Administrative Specialist III will have front line contacts with internal and external customers requiring active problem solving and exceptional communication and interpersonal skills.
ESSENTIAL DUTIES & RESPONSIBILITIES
Creates, customizes, prepares, and maintains presentations, briefing charts, and technical and nontechnical documents using computer software (e.g. Microsoft Office Suite), websites, graphical elements, scanned photos, and other presentation matter. Responsible for preparing documentation from draft to final form.
Converts text to appropriate format for uploading onto websites. Integrates several software products together to work more efficiently and improve data handling and organization.
Reviews correspondence for internal consistency and conformance; assures proper clearances have been obtained.
Coordinates meetings and special events for the organization (e.g., Days of Remembrance, Organizational Day, Bring-Your-Child-to-Work Day), to include coordinating all amenities and accommodations at the event.
Plans and schedules conferences, tours, working lunches, symposiums and meetings. Schedules room for meeting, coordinates lunch requests, notifies attendees, coordinates Video Teleconference Conference requirements, handles any other special requirements for meeting/conference/project (reserves parking spaces, directional signs, registration desk, name plates, table tents, etc), and follow-through on activities to accomplish the ARL Mission.
Establishes and maintains office databases such as calendars to include scheduling meetings/conferences and office information such as phone numbers, locations, and addresses.
Creates and maintains multiple office databases including but not limited to timekeeping, travel, training, budget, property turn-ins, and requisition ordering.
Prepares and processes training, travel orders (DTS), and personnel documents through data entry into electronic databases.
Maintains office files according to ARIMS.
Participates in mission-essential projects from inception to completion which may include project schedules and reviews, status reports, milestone review, and assesses cost-benefit analysis for ARL personnel.
Facilitates and coordinates procedural issues surrounding projects to include planning budgeting time, materials, and resources for approval by ARL personnel according to established ARL or Arm policy.
Maintains and provides the status of projects and associated budgets to ARL personnel and its customers (e.g., POCs, day-to-day working contacts, and other project information).
Operates telephone (to include answering phone and taking messages) refers calls and visitors to appropriate staff.
Operates copy machine
Operates facsimile machine.
Provides on-the-job training to contractors in lower level administrative positions.

Job Requirements :
Required (Mandatory Qualifications):
Applicant must currently have a Secret Security Clearance
3-5 years of experience as an Executive Assistant/Administrative Assistant
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, Visio and Project)
Excellent calendar management skills.
Expert MS Office skills including Word, Excel and PowerPoint and Outlook.
Experience scheduling travel arrangements for management.
Required Knowledge, Skills and Abilities:
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Excellent oral and written communication skills
Excellent face to face and phone etiquette
Ability to work in a fast-paced, dynamic environment
Excellent time management, scheduling, and organizational skills
Ability to work well in a team setting
Excellent attention to detail.
Must have superior customer service skills and the ability to effectively communicate with employees and outside vendors.
Ability to organize tasks to ensure that deadlines are met.
Ability to work effectively with a diverse population of employees including all levels of executive, management and staff.

Job is performed in a modern office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system.
