Job Summary
The Legal Secretary will deliver high-level administrative support, handling sensitive information and collaborating with attorneys to ensure seamless operations.

Job Responsibilities

  • Manage confidential and sensitive information with discretion, resolving issues for internal and external clients via phone or in-person.

  • Edit and prepare client bills with attention to detail.

  • Maintain calendars for meetings, appointments, travel, and special events.

  • Coordinate meetings, conferences, or events, preparing and distributing materials in advance.

  • Compose and format legal documents, reports, and presentations, ensuring accuracy in spelling, grammar, and punctuation.

  • Collect, enter, and edit time entries for client billing.

  • Arrange domestic and international travel, processing expense reimbursements.

  • Collaborate with the firm’s Marketing Department to prepare communications, correspondence, and presentations.

  • Screen and manage phone calls, referring matters per office policy and attorney preferences.

  • Sort and distribute mail according to firm protocols.

  • Support firm leadership or practice group leaders with administrative tasks as needed.

  • Maintain physical and electronic filing systems for efficient information retrieval.

  • Understand and apply firm policies, directing questions to appropriate resources.

  • Assist with team support tasks and perform additional duties based on attorneys’ unique needs.

Qualifications
Knowledge, Skills, and Abilities

  • Proven ability to provide exceptional client service to internal and external stakeholders.

  • Strong teamwork and communication skills, working effectively independently or collaboratively in a professional, friendly manner.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) for creating high-quality memos, spreadsheets, presentations, and legal documents.

  • Excellent command of English, with superior spelling, grammar, and punctuation.

  • Ability to multitask, adapt to shifting priorities, and meet deadlines with efficiency and attention to detail.

  • Analytical skills to interpret data, solve problems, and apply precedent or past experience.

  • Discretion in handling confidential information, demonstrating sound judgment, tact, and diplomacy.

  • Integrity and professionalism in representing the firm ethically.

  • Working knowledge of legal terminology, procedures, and standard office equipment/software.

  • Typing speed of 80 words per minute.

  • Ability to work overtime as needed and lift items up to 25 lbs unassisted.

Experience

  • Minimum of seven (3) years of legal administrative experience required.
