The candidate will interact with clients and guests either by telephone or in-person. Greet clients and guests politely by name, engaging with them, and escorting them to their meeting room. Provide a warm welcoming environment for all clients and guests utilizing the skills acquired during the firm’s First Impressions Training. Answers and screens all incoming external and internal telephone calls in a welcoming and professional manner. Anticipate the unexpected, ask the right questions, and seeks assistance from the Office Administrator, when needed. Assist all clients and visitors and facilitates their arrivals and departures using appropriate technology and other means to provide accurate information. Notify attorneys and/or assistants of visitor arrivals promptly with reminders if necessary. Guide visitors to appropriate conference rooms and visitor offices and provides light administrative support. Act as primary responder to security issues in a calm and professional manner and reports issues to the Office Administrator appropriately. Liaise with building management as appropriate. Ensure all requests are dealt with in a timely, professional and friendly manner. Anticipate the needs and expectations of each individual client or guest and responding to extremely varied requests. Exhibit openness to others’ viewpoints and ideas; Contribute to building a positive administrative team and committed to supporting co-workers. Ensure that the client reception area is kept clean and professional in appearance, is in compliance with client confidentiality; Coordinate with the administrative team to maintain all amenities equipment. Attain proficiency in the Conference Room reservation software (Rendezvous). Book conference rooms and visitor offices and ensures that all necessary components for meetings (A/V, food, room configuration and similar requirements) are provided. Coordinate with food service vendors for all client and internal meeting requests; track all data for client and internal billing purposes. Handle multiple tasks to event preparation such as envelope stuffing or name tag preparation, Excel projects, short correspondence, photocopying, faxing, mailing, and light assistant duties. Maintain a flexible work schedule to change hours as necessary to accommodate events, meetings, firm holidays, weather, and other types of emergencies. All members of the firm are encouraged to participate in the Global Citizenship program. Other special projects and duties as assigned. Relevant hospitality and/or administrative experience with high client or visitor interaction is preferred. Typing skills of 45+ WPM is required. Other languages skills are a plus.
