The candidate will maintain the calendar of the Managing Principal. Electric file court documents on CaseFile (DC) and Mdec. Organize, maintain, and track files, including pleadings, correspondence, documents from clients, and discovery in cloud server (box.com). Draft correspondence. Inventory discovery documents. Bates stamp documents for production. Elicit and maintain records from clients for discovery. Create file of discovery documents to produce. Calendar case deadlines. Schedules meetings, calls, hearings and mediations. Prepare trial exhibits and summaries. Review discovery documents for information, and summarize. Create Excel spreadsheets of information for cases. Create Microsoft PowerPoint presentations for attorney use. Act as backup for client intake, conflict check and retainer process. Manage workflow and tasks on Asana. Help update firm Operations Manual on Atlassian. Provide support to attorneys during trials and depositions. Attend Firm pieces of training. Provide administrative support including mailing, faxing, scanning, and taking notes. Handle other scheduling including dining, conference and travel arrangements. Other tasks as assigned. Bachelor’s Degree is required. Should have 4+ years of experience as a Legal Assistant, Paralegal, Executive Assistant or Legal Secretary. Should be punctual, dependable and reliable. Outstanding grammar, editing and proofreading skills are needed. Should be able to multi-task. Exceptional attention to detail is needed. Customer service driven is needed. Proficiency with Microsoft Office and the Mac Operating System is needed. Spanish language is a plus.
