This position performs administrative activities in PaleoServices and provides assistance to the Director of PaleoServices and the BRCC Contract Manager.

Administrative Assistant Job Responsibilities:

Providing administrative support to ensure efficient operation of PaleoServices.

Preparing and submitting initial compliance documents to lead agencies.

Coordinating submittal of various monthly updates and progress reports to clients.

Calculating mileage reimbursements and per diem for billing purposes and adding to contract balance spreadsheets for invoicing.

Compiling information on fossil preparation and curation hours/budgets and distributing to staff.

Tracking records search requests and other one-time invoicing projects and ensuring that invoices are prepared and submitted to clients.

Scheduling regular Departmental meetings and taking meeting notes on an as-needed basis.

Maintaining and updating guest list for annual PaleoServices Open House, overseeing preparation of guest invitations, and coordination of Open House event with Special Events staff and vendors.

Preparing/reviewing/submitting PaleoServices purchase requests and coding.

Maintaining supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

Administrative Assistant Skills and Qualifications:

At least 1 year of administrative experience, including reporting, writing, process management skills. The cover letter should clearly articulate this experience.

Strong organizational skills.

Demonstrated commitment to diversity and ability to effectively work with a diverse range of people.

Proven team player with good communication skills and customer service skills who is approachable, responsive, trustworthy, professional, and positive.

Banquet Bartender (Part - Time, Regular)

Prepare drink orders for guests according to specified recipes using measuring systems. Issue, open, and serve wine/champagne bottles. Set up and maintain cleanliness and condition of bar, bar unit, tables, and other tools. Prepare fresh garnishes for drinks. Stock ice, glassware, and paper supplies. Transport supplies to bar set-up area. Wash soiled glassware. Remove soiled wares from bar top and tables and place in designated area. Anticipate and communicate replenishment needs. Process all payment methods. Count bank at end of shift, complete designated cashier reports, resolve any discrepancies, drop off receipts, and secure bank. Secure liquors, beers, wines, coolers, cabinets, and storage areas. Complete closing duties.

This position requires Saturday and Sunday availability. Holidays and some evenings are required. The San Diego Natural History Museum is open daily, except for Thanksgiving and Christmas Day.

Major Responsibilities:

Building Maintenance and Safety Tech II (Full - Time, Regular)

The San Diego Natural History Museum is looking for a passionate mission supporting and natural history loving individual to be our Building Maintenance and Safety Technician II. This a full-time position, eligible for benefits and will report to and work with the Facilities Supervisor. The Building Maintenance and Safety Tech’s responsibilities include assisting with the daily general maintenance and upkeep of the approximate 150,000 sq. ft. facility that is located in Balboa Park, as well as a warehouse facility located in Chula Vista, CA. Issues may range from performing maintenance work at the warehouse to troubleshooting and performing general carpentry, plumbing, or electrical repairs at the Museum. The Building Maintenance and Safety Tech must exhibit outstanding customer service and professionalism in all interactions with Museum staff, visitors, guests, and contractors. Teamwork and excellent communication are critical to this position’s success.

Areas of responsibilities include:

Perform daily, weekly, monthly, and annual activities that involve routine maintenance and repairs of the Museum and warehouse areas. This includes assisting the Facilities Supervisor in creating and maintaining a punch list of activities to gauge work being completed and items needing attention.

Perform preventive maintenance and basic repairs on plumbing and electrical systems.

Routine cleaning and painting of all equipment and surrounding areas relating to equipment and equipment rooms, and common staff and public spaces. Coordinate assistance when needed with other departments.

Perform routine “handyman” work and carpentry.

Perform general cleaning of Museum-owned fleet vehicles, as well as responsible for arranging scheduled maintenance and repairs of vehicles.

Perform routine cleaning projects such as carpet cleaning, floor waxing, power washing outdoor areas, and weeding outdoor planters.

Work with Facilities Supervisor in managing waste and recyclers.

Manage internal service requests related to building operations via the Museum’s ticket order system in a timely manner.

Assist Facilities Supervisor in maintaining and logging HVAC, Generator, and Mechanical, Electrical and Plumbing (MEP) equipment.

Develop and maintain positive relations with Museum staff, contractors, and sub-contractors through prompt and courteous response to work order requests.

Maintain computerized or manual equipment logs that detail preventive work performed.

Order stock and inventory of parts and supplies, as needed.

Maintain professional appearance and manner at all times while in the complex.

Assist Facilities Supervisor in managing budget for building operations.

Qualifications and requirements:

Minimum 5 years of direct “hands-on” experience in the general maintenance and repairs of a commercial building, which includes plumbing, carpentry, and electrical.

HVAC Mechanical, Electrical, and Plumbing technical school training or equivalent experience is a plus.

Experience managing staff is a plus.

Excellent verbal and written communication skills.

Proficient in Microsoft Outlook, Word and Excel.

Proficient in email, calendar, and text message applications on iPhone or Android devices.

The Café Attendant provides Museum guests an unparalleled customer service experience in a fast-paced, educational and entertaining environment. Provide consistent and excellent customer service to visitors, members, and staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the supervision of the Chief Financial and Operating Officer, the Controller assists in managing the financial activities of the Museum, applies principles of accounting to analyze financial information, and prepares financial reports.

General responsibilities and duties include, but not limited, to the following:

Safeguard assets and assure accurate and timely recording of all transactions by implementing disciplines of internal audits, controls and checks across all departments

Manage the accuracy and productivity of day-to-day activities of accounts payable, cash disbursements, contract and A/R billings, customer credits and collections, payroll, perpetual inventory integrity, fixed asset records, inventory records, general & entity accounting, cost accounting, auxiliary revenue and operations

Develop, improve and issue timely monthly financial records for Chief Financial Officer, Executive Management, Board Committees and Board of Directors

Provide financial analysis tools to evaluate company ventures or special projects, programs, capital expenditures, products costing, etc. when necessary

Responsible for managing four direct reports within the Accounting Department

Work closely with Chief Financial and Operating Officer and Human Resources in the development and evaluation of various benefit programs for staff and program components

Manage commercial banking relationships. Interface with outside audit firms(s), banks and lessors, casualty/liability insurance agent(s), credit card companies, and collection agencies

Report to the Board of Directors and Finance/Audit/Investment Committees when necessary in writing and verbally

Manage the accounting and budgeting systems

CANDIDATE PROFILE

Bachelor Degree (B.A.) in accounting from four-year College or university; CPA highly preferred but not required. Seven or more years related experience in a non-profit organization. Minimum of four years of supervisory experience. Experience with Governmental Funding and Contract Management is highly desired.

Knowledge of Sage Intacct, Altru (Blackbaud) and PowerPlan softwares preferred.

Strong general ledger and fund accounting experience, with excellent knowledge of GAAP principles.

Superior attention to detail and ability to insure compliance with internal policies and procedures. Excellent verbal and written communication skills.

Ability to synthesize day to day accounting with overall organization financial and strategic projections and goals.

Director of Conservation Biology (Full - Time, Regular)

The Exequiel Ezcurra Director of Conservation Biology (DCB) at the San Diego Natural History Museum (Nat/Museum) is a newly created, endowed position intended to transform the Museum’s ability to have direct conservation impacts in our mission region of Southern California and Baja California. The DCB will play a leadership role in using an evidence-based, scientific approach to conduct research, inspire, and steer the conservation strategies of the Nat. As part of the Museum’s Biodiversity Research Center of the Californias, the DCB will work with its curators to strategically integrate collections-based research into the Museum’s conservation portfolio and actively collaborate with the region’s conservation biologists in both Southern California and Baja California. The DCB is expected to have their own research program that generates data to inform conservation efforts and lead to direct conservation actions. In addition to serving as the intellectual leader of our conservation research strategy, the DCB will serve as the Museum’s face for conservation and environmental justice. In this capacity, the DCB will act as a strong representative of the Museum within the local, regional, and global conservation communities. The DCB should be a skilled and creative science communicator, generating and co-creating conservation-inspired outreach, and functioning as a content expert for internal and external stakeholders.

We seek a creative, engaged researcher to holistically approach our region’s conservation needs, set priorities, and engage the Museum’s community throughout our mission area and beyond. Ideal candidates should be actively publishing scientists with a Ph.D. and have a record of applying conservation science and human dimensions of conservation to on-the-ground conservation efforts. Candidates with experience in collaborative efforts are preferred. The DCB is expected to engage the Museum’s various research departments to focus multi-disciplinary datasets to address conservation challenges. As such, candidates with experience in data synthesis, project management, and use of community science platforms are desired. Through the Museum’s education programs and exhibitions, as well our publications and social media outlets, the DCB is expected to promote a conservation ethos rooted in environmental justice and centered on the scientific work generated by our staff and conservation partners. This leadership role requires a successful track record of securing external funding, superb communication skills, team building, and a passion for biodiversity and its protection. As the Exequiel Ezcurra Director of Conservation Biology, you will report directly to the Vice President of Science and Conservation. Depending on experience, starting salary will range from $63,000 to $85,000 with a benefits package included.

About the Museum’s Conservation Programs: The Nat has a long history of conservation actions, from petitioning for the creation of Torrey Pines State Reserve to documenting our region’s rich biodiversity. Binational expeditions, 100-year resurveys, and multi-disciplinary rapid assessments have drawn focus to diverse areas needing protection and documented the changes we’ve seen over our nearly 150 year-long history. Species-specific conservation research has discovered lost plant species presumed extinct, returned extirpated frogs to southern California, removed invasive species from sensitive habitats, and provided detailed insights into habitat use and development. Our biodiversity collections and their associated data are shared through numerous portals and receive millions of queries per year, contributing to our understanding of plant and animal communities across time, including our many Atlas programs (e.g., sdplantatlas.org, herpatlas.sdnhm.org) that bring focus to our important regional biodiversity.

Required Knowledge, Skills, and Abilities

A doctorate (Ph.D.) in biology, conservation, environmental studies, or geography (or similar field) from an accredited university degree program;

Leadership skills to inspire and steer the conservation research strategy at the Museum;

A self-generated research program that includes the full lifecycle of the scientific process, and demonstrated results in the form of peer-reviewed articles and other published works;

Organizational skills to guide and support the Museum’s research departments to integrate collections-based research into conservation actions;

Demonstrated success in garnering external funding;

Organizing and/or participating in collaborative programs to demonstrate the ability to holistically interact with researchers, science communicators, land managers, educators, and the general public;

Communication skills across diverse platforms, including public speaking and experience communicating science to audiences of various skill levels;

Two years of experience working in a conservation field, but recent graduates with demonstrable experience will be considered;

The Director of Development is focused on expanding philanthropic revenue and deepening donor relationships. Responsibilities include managing a portfolio of 85-100 individual donors and overseeing the annual fund, membership, and Leadership Circles programs. Your Day-to-Day Work

Individual Fundraising (75%)

Manages a portfolio (85-100) of individual donors and prospects.

Develops identification, cultivation, solicitation and stewardship strategies for new and current donors and prospects.

Plans and implements customized cultivation and stewardship activities for portfolio, including reporting, meetings, tours, and other appropriate activities.

Director of Food & Beverages (Full - Time, Regular)

Directs and oversees all aspects of the organization's food, beverage and merchandise planning and service as they pertain to the Museum’s café and bar services. Duties include menu planning and costs, preparation and presentation of food and drinks, caterer relationships, adherence to quality and safety standards, ordering, vendor preference, and management of food, beverage and merchandise inventory. Roles and responsibilities:

Responsible for the preparation, monitoring and reporting of the annual budget, revenue goals (short-term and long-term) and the expenses for the Food and Beverage department. Take corrective actions that may be needed.

Directly responsible for managing food cost, beverage cost, merchandise cost and labor cost. Monitors market conditions that impact menu offerings, business volume, and profitability.

Executes inventory control and calculation for monthly analysis and reconciliation. Identifies opportunities to control food and beverage costs and other expenses. Works closely with the CFO/COO and Accounting department on policies and procedures and the monthly inventory processes.

Collaborates with Café staff in the creation of menus to entice a variety of appetites including café patrons and internal private events while incorporating a menu pricing structure that will support the bottom-line goals.

Directs ordering quantities, timing of orders, receiving, invoice settlement and accuracy, storage temperatures and areas. Continually researches vendor and caterer possibilities, pricing, service, and evaluates vendor relationships to the benefit of the facility.

Directs and organizes the Café’s retail merchandise and e-commerce operations to maximize profitability. Analyzes financial data and develops strategies around pricing, merchandising and promotions. Working closely with the Marketing department, manages merchandise and creates product lists, identifying roll-outs and phase-outs of products.

Work with local and state inspectors (e.g., Department of Environmental Health and ABC) to ensure all food safety measures are met. Ensures compliance for the safe and legal service of alcoholic beverages.

Creates and implements all policies and procedures for the Food & Beverage department including compliance of organizational standards relating to quality of products and services for the Café and Bar Services.

Performs detailed evaluation of all F&B equipment to ensure all items are in working order for all F&B functions.

Approves points of sale and schedules for F&B department.

Responsible for interviewing, hiring, training, coaching, planning, assigning, and directing work, evaluating performance, rewarding, and disciplining associates; addressing complaints and resolving problems.

Exhibit Tech (Part - Time, Temporary)

Reporting to the Director of Experience Design, the Exhibition Technician is a temporary position (December 2021 through April 2022) that will support preparation, fabrication and installation for exhibitions at the San Diego Natural History Museum, including a new exhibit focusing on the Baja California Peninsula. The position will work closely with all members of the exhibits team and other departments as needed.   

MAJOR RESPONSIBILITIES:

Prepare gallery spaces for new exhibitions by safe and careful removal of old exhibit elements and temporary partition walls.

Prepare wall surfaces and paint gallery walls. Repair or replace baseboards and restore flooring as needed.

Help fabricate, install and paint new temporary gallery partition walls and other large exhibition architectural features.

Fabricate, assemble and install a wide variety of individual exhibit components such as pedestals, display decks, dioramas, exhibit cases and interactive exhibits.

Work closely with the exhibits team to help fabricate exhibit elements including realistic sculpted models and other larger thematic props.

Be able to help securely install floor, wall or ceiling mounted objects utilizing a wide variety of hardware and tools.

Safely load and unload deliveries of exhibit materials from trucks at Museum loading dock or help deliver or retrieve items from storage at the Museum’s offsite warehouse.

Occasionally help with general exhibit projects and maintenance in existing exhibition galleries.

Work with Exhibits staff to resolve and implement remedial & maintenance modifications to exhibit elements.  

Oversee and participate in the installation of exhibitions.

Herpetology Apprentice (Part - Time, Temporary)

Applications are invited for two (2) paid undergraduate student positions in the Department of Herpetology at the San Diego Natural History Museum (The Nat). This immersive apprenticeship program provides students with Museum-based experience in amphibian and reptile biodiversity science centered around collections curation, specimen preparation, and digital image capture.

Objectives & Duties:

Specific museum collection tasks to be taught will include an overview of biodiversity data and data flow, preparation of alcohol-preserved whole-body specimens, collection organization and maintenance, and photographic capture of individual specimens to be uploaded to public-facing websites.

Specific curation tasks to be taught will include: collecting ethics and the purpose of collections; taxonomic nomenclature; collection organization; wet specimen preparation; collecting data including locality description and mapping systems; storage systems (jars, labels, fluid); collection maintenance and care; data tracking procedures and data entry into the SDNHM Herpetology Collection Database run on the software Specify; high resolution photographic imaging of individual wet specimens, adding photographic metadata, and photographic editing techniques in Adobe Lightroom; uploading bulk images to the Specify database and pushing the images to our collections portals, including the Amphibian and Reptile Atlas of Peninsular California.

Examples of projects to be worked on as part of this program include: general collection maintenance and organization; pickling backlogged accession material; georeferencing individual species locality data; quality control of collecting data; photographing our entire holdings of individual species or counties, or species assemblages from islands in the Gulf of California, or various endangered species.

Schedule:

The apprenticeship program will involve up to 12 hours of work per week over a total period of 20 (twenty) weeks (January 2022 through May 2022). Compensation will be $16.00 per hour.

Qualifications:

Paleontological Specialist (Part - Time, Temporary)

The Department of Paleontology at the San Diego Natural History Museum has an opening for paleontological field monitor. This position will be part-time temporary, as needed (0 – 29 hours per week). All work is funded through contracts.

The San Diego Natural History Museum is run and operated by the San Diego Society of Natural History, a private non-profit scientific organization incorporated in 1874. The Museum’s mission is to interpret the natural world through research, education and exhibits; to promote understanding of the evolution and diversity of southern California and the peninsula of Baja California; and to inspire in all a respect for nature and the environment.

Within the Museum, the Department of PaleoServices specializes in paleontological resource management. Our focus is on the recognition, recovery, and preservation of the significant and unique paleontological resources that occur in the greater southern California region.

Major Responsibilities:

Field monitoring of active mass grading, trenching, and other excavation activities into potentially fossil-bearing sedimentary rocks (Cenozoic and upper Mesozoic marine and/or non-marine rock units) in the greater southern California region.

Field monitor will work in close proximity to heavy equipment and be expected to work safely, to collect unearthed fossils, and to record relevant stratigraphic and taphonomic data.

Field monitoring can include working at distant locations for a week at a time, with commensurate reimbursement of per diem and mileage.

Opportunities for field survey work and fossil preparation are also possible.

Scheduled work hours are typically between the hours of 7 am to 3 pm Monday through Friday; however, work may also occur at night or on weekends.

Qualifications:

A minimum of a B.S. in Geology or a related discipline with an emphasis in paleontology.

Experience in field paleontology and stratigraphy is preferred.

The San Diego Natural History Museum is seeking a passionate, detail and customer-service oriented Reservations & Support Coordinator to oversee program reservations and support the activities of the Museum’s Education and Engagement division. Reporting to the Senior Manager of Education, the position is responsible for overseeing school, camp and public group/program reservations and registrations; managing invoices, scholarships and departmental purchasing; and providing additional logistical support for both the Education and Volunteer Departments.

MAJOR RESPONSIBILITIES

Education Department

Process sales and reservations for school group visits (in-Museum and outreach), public group visits, and public programs (such as summer camp).

Works with Facilities staff at the end of the event to ensure that all exhibit areas/items are returned to regular for the Museum to open the next day.

Vendor Load-in and Load-out

Ensures that only appropriate vendors access loading areas.

Operates Sidewalk Lift and Freight Elevator for vendors if Building Operations staff is unavailable.

Follows wristband procedures as vendors arrive for load-in and when vendor crew returns for load-out.

Stops unauthorized vendors or Balboa Park guests from entering the Museum during load-in and load-out.

Ensures vendors are following facility guidelines.

Qualifications and Requirements:

Comfortable dealing with a wide array of guests, vendors, and customer service situations.

Must have reliable form of communication (phone, email)

Experience in a fast-paced, high-stress environment

Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.

Stand, sit, or walk for an extended period of time or for an entire work shift.

If hired a (Live Scan) background check will be required.

Flexible with scheduling of shifts and willing to work nights, weekends, and holidays

In compliance with the San Diego Natural History Museum’s mandatory vaccination policy, the Museum requires proof of full vaccination against COVID-19 as a condition of employment. Accommodations based on medical and religious exemptions will be considered.

Position pays $16/hour. Employees enjoy free admission into all of Balboa Park’s museums as well as free admission to the San Diego Zoo and Safari Park.

This is a part-time/as-needed position.
