Responsibilities: Preparation of correspondence, memoranda, notes, outlines, legal documents, charts, forms, etc., whether from drafts, originals or dictation. Preparation and submission of electronic and non-electronic court filings, etc. Coordinate monthly billing/invoices for assigned attorney(s) and deliver them to clients, whether hardcopy or via email. Prepares, records, files (both electronic and non-electronic) and transmits legal documents to various courts, named parties, opposing counsel, lenders, brokers, and other pertinent/required entities. Types, revises, modifies all correspondence legal documents, charts, forms, etc., whether from drafts, originals or dictation. Coordinates follow-up to secure executed engagement letters from new clients and ensures any required retainer has been met. Once engagement is confirmed/retainer is paid, creates new client record, and/or opens new matters by completing electronic client/matter intake form, and lastly, ensures that the digital client file and matter folders are set up in the document management system (Worldox). Enter and/or release attorney time. Answer and screen telephone calls. Help maintain attorney calendars, including scheduling internal and external meetings, scheduling client calls, scheduling and calendaring transactional closings, and calendaring hearings, trial dates, and other docket appearances. Calendar maintenance will also include adding reminder alerts for project deadlines, scheduled appointments, etc, as well as personal reminders via direct communication. Make travel arrangements. Provide coverage and act as backup for other legal assistants on the team so that our delivery of service to clients continues without interruption. Provide coverage as a secondary backup for the firm’s Receptionist, greeting visitors/guests and handling incoming calls via the switchboard. Perform other responsibilities/tasks as assigned/required.
