Position Summary: Provides legal secretary / legal assistant support for attorneys in Litigation and Bankruptcy practice in a fast paced, deadline driven environment. Most be extremely organized. Performs legal assistant duties requiring specific knowledge of related standards and procedures. Essential Duties and Responsibilities include the following. Other duties may be assigned to meet business needs.
• Prepares a wide range of legal pleadings including original petitions, answers, motions, discovery requests and responses, jury charges, briefs, subpoenas, judgments, settlement agreements, and other legal documents under the attorneys direction for state and federal courts including Bankruptcy court.
• Schedules hearings and depositions, maintains calendar and tickler system for all deadlines including answer and discovery deadlines.
• Inputs data to track the case status.
• Assists in preparing for hearings, trials (both jury and non-jury), file preparation, coordination and interview of witnesses, exhibits, and basic research.
• Communicates with other law offices regarding the status of cases.
• Prepares correspondence under direction of attorneys.
• Collects, organizes and maintains comprehensive client and matter information in a central digital file to be used in the administration of each matter, including the accurate preparation of new client and matter intake forms. Maintains data easily accessible to all users.
• Closes or directs closing of files. Receives, reviews, and discusses inactive matter list with attorney and advises Records on which matters to close.
• Performs various clerical duties including but not limited to: opening and routing mail, typing, filing, answering phones, copying, scanning, and record keeping.
• Researches case information.
• Files legal pleadings and other documents with various courts through Pacer (Bankruptcy matters); delivers judgments and orders for signature by judge.
• Files legal pleadings and other documents with various courts through eFiling (State and Federal); delivers judgments and orders for signature by judge.
• Assists attorneys with accounts receivable collections.
• Screens telephone calls, letters, visitors, and answers and directs inquiries to attorney.
• Schedules appointments; accepts or refuses invitations; makes reservations; coordinates and organizes meetings; makes travel arrangements; maintains calendar for attorneys.
• Receives, files, and indexes all pleadings and correspondence, maintains litigation files (physical and electronic); may have the assistance of a File Clerk.
• Ensures that the File Clerks work is accurate and current.
• May serve as backup to other legal assistant/secretaries as needed.
Minimum Qualifications:
• High school diploma or GED; associates-paralegal degree or some college preferred.
• Two (2) years legal secretary/legal assistant experience.
• Must be extremely organized Excellent MS Office (Word, Excel, PowerPoint), Pacer, E-filing skills.
• Excellent verbal, written, and interpersonal skills.
• Ability to multi-task with accuracy.
• Ability to prioritize daily projects and duties with respect to deadlines.
• Familiar with e-filing in State, Federal and Bankruptcy Court (Pacer).
• Must demonstrate close attention to detail.
• Must maintain confidentiality.
• Ability to read and interpret written information.
• Must possess the ability to follow through on commitments; demonstrate accuracy and thoroughness; look for ways to improve and promote quality.
