Coordinator Wholesale Operations

Profile

The Coordinator, WS Operations is responsible for the overseeing of tracking purchase orders and inventory/customer orders for the Tommy WS division.  These accounts include, Macy’s, Amazon, Kohl’s, and various other .com and pure play accounts.

This role would work closely with the WS Operations team and will report into the VP, Operations, WS.

Responsibilities: 

• Oversee the tracking of orders for all Tommy USA/Canada apparel wholesale divisions, including Adaptive
• Lead the analysis and roll up of seasonal buys, and compile customer orders by delivery, style, color, and size
• Manage the communication flow with Logistics to ensure all air and vessel shipments are delivered to the USA or Canada warehouse in a timely manner
• Ensure that the warehouse is always alerted whenever hot shipments are scheduled for delivery
• Partner with Production Operations to request updates on delayed styles, thus minimizing delays on transit and shipping calendar
• Inform Sales and Customer Service on any delayed styles.  Recommend any foreseeable delivery issues in advance so CS is prepared for any issues
• Reconcile future purchase orders against customer orders, by size
• Oversee the tracking of market order buys to ensure all POs match the final buy file
• Verify all factory purchase orders have the correct packaging type
• Work with the warehouse to ensure any new receipts are QC checked in a timely manner
• Coordinate with production to close shortage balances on any POs that will not be produced
• Assist with any special projects or ad hoc queries as directed by VP, Operations, WS

Qualification:

• 3-4 years of related experience, desired   
• Bachelor’s degree
• Able to work independently
• Proficient with Microsoft Excel (strong pivot and Vlookup skills)
• Strong retail math, desired
• Able to organize and prioritize workload to meet deadlines
• Ability to multi-task
• Planning, Finance, Production, Merchandising, Sales, Production, International Licensing
• All external WS accounts
• Support VP, Operations, WS on inventory and financial projecting and reporting.  Responsible for report generation when needed
• Recommends business adjustments based on analysis of current business
• Must be able to self-manage workload and deadlines without full guidance of supervisor
• Ability to handle multiple tasks/projects with adherence to deadlines and budgets
• Creative thinker and effective collaborator who must be able to find the best solutions and develop methods to improve efficiency, impacting the success of the WS Ops team
• Flexibility required to respond to changing needs of the business with adherence to deadlines
