Legal Administrative Assistant-Private Client
Duties: The candidate produces, edits, and formats correspondence, memoranda, reports, and other legal documents specific to the Private Client department utilizing computers, transcription equipment, and other office equipment. Supports multiple attorneys and paralegals as primary assignments in the preparation of estate planning documents. Screens telephone calls and records messages. Reviews, sorts, and dates incoming mail and faxes. Ensures that outgoing mail and faxes are delivered promptly. If necessary, processes and routes mail to specific delivery service and follow up on timely delivery. Establishes and maintains calendar and deadline reminder systems; utilizes the Firm’s centralized docketing and calendar system and enters client data into restricted departmental databases. Requests conflict of interest reports with the appropriate department, opens new clients and/or matters, and maintains all client and general files. Conducts periodic review for possible storage of older files and prepares files to be closed. Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship. Manages attorney calendars, schedules appointments, and coordinates travel arrangements. Reviews, edits, processes, and proofs billing statements. Collaborates with administrative support staff (document production, receptionists, business office, etc.); proves documents returned from document production; ensures that attorney timesheets are entered and released promptly. Shares overflow responsibility in document management, filing, photocopying, scanning, or other legal administrative duties as time permits and as requested by the Practice Support Team Coordinators or other attorneys. Also assists other Legal Administrative Assistants with their workload in a team environment.
