Human Resources Coordinator
The candidate ensures confidentiality of all Human Resources issues, employee and Firm matters. Answers inquiries from Firm personnel regarding Firm and Human Resources policies and procedures. Researches Firm policy to respond to questions, using discretion and judgment in providing information. Escalates questions and issues that cannot be resolved to the Associate Director and Human Resources Manager. Maintains confidential employee personnel records in Perceptive Content and updates employee information in Workday. Compiles reports from database as needed. Responds to requests for verifications of employment information for current and former employees (supported with the appropriate releases) according to the Firm policy. Responds to requests from the New York State Department of Labor/Illinois Office of Employment Services regarding unemployment insurance claims. Assists in the planning of social and training events such as but not limited to Staff Appreciation Week, Flu Shots, CPR training. Processes department expenses through Chrome River for budget purposes. Assists in the recruitment and scheduling interviews of Business Services personnel. Interviews candidates for open Business Services positions for the NY and Chicago offices. Prepares offer letters for prospective employees. Requests background investigation reports on viable candidates and monitors the status. At times, may be required to assist the background check vendor in completing employment/education verifications. In liaison with the Conflicts department, ensures conflicts are cleared on all prospective attorneys and paralegals. Creates new hire ticket in Cherwell HR tracking system to begin the onboarding process. Sends welcome emails and applicable on-boarding paperwork to new hires for their completion. Schedules orientation meetings and training for all new employees. Assists in conducting orientation for all new employees and attorneys in the New York office. Answers inquiries regarding medical, disability, life insurance, vacation, PTO, open enrollment and other benefits or services. May assist in preparing departure checklists and forms for staff and attorneys. Assists with other duties as assigned by the Associate Director of Human Resources and Human Resources Manager in New York. Bachelor’s degree and 2+ years' of prior work experience in a law firm or similar environment is required.
