The candidate will directly to the Director of Academic Success and Bar Programs, with dotted line reporting to the Law Student Affairs Coordinator. Will report directly to the Director of Academic Success and Bar Programs, with dotted line reporting to the Law Student Affairs Coordinator. Responsible for contributing to a positive student experience by providing academic success and Bar exam support services to current law students and Bar exam support services to recent graduates. Provides event management and marketing support and strategies for more than 20 events each year targeted toward student bar exam preparation and academic success. Oversees data entry and processing of confidential data for Academic Supervision, Academic Success, Bar Exam Programs, and other student information databases, and prepares data reports for the Director of Academic Success and Bar Programs and Assistant Dean for Law Student Affairs. Also assists in coordinating disability accommodations for law students. Provides administrative support for the Director of Academic Success and Bar Programs, and manages initial contact for all walk-in, telephone and email inquiries from current students and graduates seeking bar exam or academic success support. Works in a collaborative relationship with all law school students, faculty, administrative offices, and university offices and actively participates in implementing procedures to enhance the overall effectiveness and efficiency of Academic Success and Bar Programs. The ability to provide timely and accurate communication is an essential component of this position. Works under the supervision of the Director of Academic Success and Bar Programs and the Law Student Affairs Coordinator. Coordinate the general activities for Academic Success and Bar Programs. Serve as first contact for walk-in, telephone and e-mail inquiries for enrolled JD students, faculty, staff, and alumni. Respond to queries relating to academic success programming, academic supervision requirements, and bar exam programming. Work in conjunction with and as support for the Director for Academic Success and Bar Programs and Assistant Dean for Law Student Affairs in developing communications to law school constituents. Serve as the administrator of communications via BlueHornet, CRM, and other platforms implemented by the Director. Maintain current and accurate information on the law school website related to academic success and bar programs. Handle scheduling and office assistance (copying, mailing, distribution, etc.) and provide administrative support to the Director, as well as limited administrative support to academic success fellows at the direction of Director. Collaborate with other law school offices when necessary including Communications, Admissions and Financial Aid, Registrar’s Office, Career Services and Facilities to facilitate and respond to student requests for information or action. Assist with short- and long-range planning and development of department programs and policies, recommending revisions to the program where appropriate to improve productivity, efficiency and service. Perform other duties or tasks as assigned. Coordinate and support Academic Success and Bar Programs Events. Provide detailed coordination and support for over 20 student-specific events ranging from 25-300 people related to academic success and bar programming each year. Act as primary interface with all administrative offices to coordinate calendars for major events. In conjunction with the Director, develop and recommend event programs, schedules, and budgets for each event. Manage logistics for each event, including room reservations, catering orders, audio/visual equipment, etc. Provide reports to Director of status and cost of each event at necessary intervals. Create and distribute marketing materials for events, ensuring consistent and timely messaging. Manage confidential law school databases and processes relating to student academic information. In conjunction with the Director for Academic Success and Bar Programs and Assistant Dean for Law Student Affairs, maintain and update informational databases and data reports relating to student performance, Academic Supervision, academic success, bar exam preparation programs, accommodations and other areas as needed. Manage disability accommodation approvals with the Disability and Learning Differences Resource Center, Law Student Affairs, and Law Registrar’s Office. Manage process to secure class note takers for students with documented disabilities. Provide support to Assistant Dean in monitoring academic status of students subject to Academic Supervision. Manage reimbursements and assist with budgeting. Provide budget and reimbursement support to Director and for Academic Success and Bar Programs budget lines; process invoices and vendor payment requests for all programming; reconcile Director’s Travel & Entertainment Cards and ProCards; process journal entries and appropriations, as needed, to correct errors, reconcile budgets and provide accurate budget records.
