The candidate coordinates and facilitates the interview process for the lateral partner recruitment: corresponds directly with external and internal stakeholders; creates and communicates interview meeting invites, schedules, and internal confirmation emails; handles meeting logistics; organizes, tracks, and disseminates information for candidates and interviewers; and collates and tracks feedback in a timely manner. Maintains and updates recruitment and tracking databases, systems, and documents as well as applicant information, records, and files to ensure accuracy and completeness. Tracks, analyzes, reports, and refines recruitment metrics and outcomes, advance data-gathering efforts. Prepares materials and attends internal meetings, disseminate meeting notes, and update databases. Performs market and lateral research, and coordinates with internal team on extended research. Coordinates the administrative aspects (track, organize, report, prepare) of lateral process including conflicts checks, external due diligence, lateral partner questionnaire, internal memos, and final interviews. Assists Chief Administrative Officer with lateral partner recruiting search firm relationships and related agreements, invoice processing. Supports partner onboarding, integration and transitions through collaboration with HR, Finance, IT, Business Development and operations team. Maintains awareness of industry best practices as well as lateral partner moves and opportunities. Assists with lateral integrations and partner transitions. Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Completes a broad variety of administrative tasks for the Chief Administrative Officer including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; compiling documents for travel-related meetings; assisting with lateral recruitment tracking and partner transitions; planning and execution of firm events and initiatives, etc.. Provides a bridge for smooth communication between the Chief Administrative Officer and internal departments; demonstrates leadership to maintain credibility, trust and support with senior management staff. Schedules and coordinates appointments, meetings and conference calls including arranging visitor access, food and beverage accommodations and preparation of participant materials. Proofreads and ensures quality of documents (formatting, using templates etc.). Responds to a high volume of internal and external business and administrative inquiries; transmit messages accurately and promptly. Processes incoming and outgoing mail. Performs other additional administrative responsibilities and projects as needed. Bachelor’s degree is required. Should have 3+ years of legal or professional service firm experience in recruiting and/or Executive Administrative Assisting.
