Minimum Qualifications

Master's degree in related field and two years of experience or equivalent combination of education and proven work experience as an executive coordinator in a high-profile office setting. Grade EX.  Salary is commensurate with experience.

Preferred Qualifications

Position Description

The Coordinator for the UofL Health Philanthropy Program will serve as the office manager and assist to manage operations of both the fundraising efforts for UofL Health and the UofL Health Foundation. They will serve a team of fundraisers and related staff, as well as members of the board of the UofL health Foundation. They will work with minimal supervision and are responsible for planning, researching, problem solving and performing special projects as assigned. They must be able to function independently, organize, prioritize, work well under pressure, and deal effectively with all levels within and outside of the organization.

Duties and Responsibilities

  • Serve as a liaison between the UofL Health Finance office, University Advancement, and the UofL Foundation to help maintain budgets, payments, contracts, and ensure the quick distribution of donor funds.
  • Manage and organize calendars, establish appointment priorities, schedule meetings, make travel and related arrangements, and ensure that material for meetings is prepared and available. This will include helping to maintain a departmental calendar of events, grants, and reporting deadlines. Commitments made will be noted and ensure follow-up and/or implementation.
  • Coordinate special projects, events, and related requests for the VP of UofL Health Philanthropy and in conjunction with other offices as needed.
  • Manage 9 hospital board reports and oversee the development of UofL Health donor reports.
  • Assemble data and materials for the VP's use, so VP is fully informed, and all deadlines are met.
  • When needed, prepare power point presentations, gather research from a variety of sources, follow up with members of UofL Health and the University to complete data for the Assoc. VP. Ensure the accuracy and timeliness of data used.
  • Assist with development and fundraising activities for UofL Health and its entities, interact with donors and donor prospects and their agents or representatives, staff, volunteers, and community leaders. 
  • Serve as a resource for solving problems, answering questions, resolving complaints and concerns, and giving direction regarding policies and procedures. Follow up where appropriate to ensure resolution. Anticipates potential problems or conflicts and takes appropriate action. Uses judgment and initiative to determine the approach or action to take in non-routine situations
  • Coordinate, interpret, and adapt guidelines including unwritten policies, precedents, and practices which are not always completely applicable to changing situations.
  • Receive and screen telephone calls, visitors, and mail.
  • Compose routine correspondence and internal/external communication for VP's approval/signature.
  • Maintain supplies and equipment. Responsible for general clerical support functions and may include supervision of other executive assistants.
  • Maintain departmental records. Maintain confidentiality of information in the department according to established procedures.
  • Demonstrate a commitment to a high level of professional and ethical standards in his/her daily activities, consistent with the Code of Conduct.
  • Performs other duties as assigned.

Some weekend and evening work will be required, especially around support for community and hospital events, to help support events where needed.
