Office Administrator
The candidate will coordinate orientation schedules of staff new hires and lead orientation for all new hires. Supervise, mentor, train, and coach the office staff and delegate assignments to ensure maximum productivity. Partner with the Talent Management department on office recruiting, assist in drafting and editing job descriptions. Organize maintenance requests, coordinate repairs, and ensure appliances are in working order. Manage all aspects of the office’s space/infrastructure plan (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested. Oversee the day-to-day activities of the office as the main point of contact in the reception area, keep management informed of performance with routine and requested reporting. Manage timekeeping activities for the office including following up with managers and supervisors to ensure all timecards are approved, answer routine questions about timekeeping and ADP, and ensuring FLSA standards are met. Act as a point of contact in the office for general questions regarding Paid Time Off (PTO), PTO accrual policies. Route in depth inquiries to payroll as needed. Provide training and guidance to management on company policies, processes, and best practices. Perform routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, leave of absence administration, productivity, recognition, and morale; occupational health and safety; and training and development. Assist the Senior Generalist with complaints intake, investigations, disciplinary action, performance management, and dispute resolution. Act as a point of contact for human resources questions from attorneys, paralegals and staff in the office. Understand a majority of the human resources policies of the firm and displaying the ability to answer most questions independently. Use appropriate judgment to route complex questions and issues to appropriate resources and following-up to ensure the issue is resolved in a timely manner. Collaborate with the department to assist with the performance review process, scheduling secretarial coverage, and conducting exit interviews. Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law. Spanish skills are required.
