Summary:
The Executive Specialist provides direct organizational and administrative support to the General Counsel & Corporate Secretary.
Responsibilities:
Partners with General Counsel & Corporate Secretary in proactively managing their schedules to prepare them for upcoming appointments, meetings and events.
Manages the General Counsel & Corporate Secretary’s expenses, security, and travel.
Works proactively, independently and within a team on special nonrecurring and ongoing projects.
Acts as project manager for special projects, at the request of the executives, which may include: planning and coordinating off-site events, planning and coordinating multiple presentations, disseminating information, organizing work and complying with deadlines and priorities.
Creates and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
Manages documentation on behalf of General Counsel & Corporate Secretary.
Completes data analysis and reporting on behalf of General Counsel & Corporate Secretary.
Handles confidential, routine, and non-routine information and communicates policies when necessary.
Acts as a liaison for the General Counsel & Corporate Secretary, other departments and outside agencies, including high-level staff such as, presidents, senior vice presidents and chiefs.
Will interact with other Chief Officers, Board Members, Board Liaison and Chairman of the Board.
Requirements
Education: Requires education beyond high school including two years of special training vocational school and or college course. BS or BA preferred.
Experience: 5 plus years of related experience. Experience in a corporate environment preferred.
Computer Skills: Must be proficient in Microsoft Office Suite programs to include Excel, Word, Outlook, PowerPoint and Microsoft Teams.
Communication Skills: Excellent verbal and written communication skills
Special Skills: Must have proven track record of developing and managing sensitive relationships and demonstrated excellence in exercising discretion related to critical relationships for the company and the General Counsel & Corporate Secretary. This position requires a high level of discretion and confidentiality and the ability to work independently under general instructions and in a timely manner; must be detail-oriented; have strong analytical skills; must exercise sound judgment, flexibility, initiative and commitment.
