Support Services Coordinator
The candidate will schedule and organize departmental activities and events, creating spreadsheets and running reports, composing routine e-mail correspondence and other projects as assigned. Process vacation requests and either approve or deny while ensuring adequate coverage including monitoring time off around the holidays. Monitor PAs who are out on trial, LOA, working out of town, etc.. Check voicemails and emails within the department for unscheduled absences. Track same and ensure attorneys whose PAs are out have been informed and reminded of back up coverage. Manage telephone responsibilities, including, answering department telephones throughout the day and assisting callers to ensure that needs are met and inquiries are addressed. Assist with arranging overflow assistance as needed. Update PA assignments in PeopleSoft and run monthly reports. Schedule and coordinate PA meetings, trainings, workshops, etc.. Ensure that services provided by the Support Services department are meeting the needs of attorneys and clients by proactively assessing and reviewing needs. Use firm software (MS Office, DMS, databases, etc.) to prepare, revise, format and finalize a variety of work. Miscellaneous projects as assigned. Must have high school diploma. Associate’s Degree in relevant field is preferred. Should have 3+ years experience providing administrative support, ideally, within a law firm or other professional services firm. High level knowledge of MS Word, Excel, PowerPoint, Acrobat and Outlook is required.
