Human Resources Coordinator, Legal HR
The candidate will work closely with and provide support to the Legal HR Human Resources Business Partners in a fast-paced, deadline-oriented role. Review all legal new hire notices and accompanying offer letters. Accurately add and track all exceptions noted (bonus payments, guaranteed compensation, etc.) to appropriate Legal HR document(s). Monitor new hire onboarding progression within the firm. Manage compensation adjustment communications prior to each payroll processing deadline. Manage special pay arrangement communications. Secure approval from appropriate parties and email Payroll & HRIS teams each pay cycle prior to the payroll upload with a comprehensive list of all lawyer and professional compensation adjustments, bonus payments & special pay arrangement (SPA) payments. Distribute SPA files to employees and ICs after approval is secured. Facilitate the approval of hourly lawyer payroll. Ensure all hours are approved and submitted to the Payroll team prior to each pay cycle’s deadline. Monitor and audit lawyer and professional approved leaves of absences (LOAs). Prepare and distribute LOA timekeeping instruction memos. Audit the Elite LOA time entries of all those on approved LOAs on a monthly basis and resolve any issues identified. Draft lawyer and professional agreements and reclassification letters & ensure changes are effectuated. Handle lawyer custom email signature requests (verify title, secure approval from leadership & work with IT to have custom title implemented). Audit the firm US Committee memberships on a quarterly basis and work with HRIS to implement changes. Assist with the lawyer and professional annual performance review and compensation review processes. Work with HRIS team on the setup of annual performance review processes within viDesktop. Manage e-binder creation & distribution. Assist with scheduling meetings as it relates to the performance and compensation review process. Manage the onboarding of all legal Independent Contractors by providing the appropriate new hire forms and liaising with Accounts Payable (AP) & HRIS teams. Process incoming fall associate salary advance requests (create agreement, communicate figure to AP, inform payroll of start date once confirmed). Facilitate the lawyer departure process (following-up with Practice Group Leadership, communicating with HR notifications team, tracking status, etc.). Support the Legal HR department with other related duties. Other duties as required to fully meet the needs of the position. Bachelor’s Degree in Human Resources or related field is preferred. Should have 2-3 years Human Resources experience in an administrative role.
