Event and Sponsorship Coordinator

The candidate will manage the infrastructure that supports our event programming and sponsorship outreach efforts, including fit entry and report generation. Assist with event planning, logistics, and production to include vendor booths, street closures, barricades, volunteers, walk-thru’ s with city officials, completing city permits, walk-thru’s for signage needs, 18 wheelers, organizing paid staff and volunteers, etc.. Inventory the firm branded giveaway items, banners, and signage periodically, order what is needed for all upcoming events and order promotional items as needed. Facilitate luncheons, Top Performer’s Dinner, and other the law firm employee events by working with caterers updating menus, point of contact for drop offs, submit check request and ensuring timely payment. Manage contacts lists for invitations, sorting/updating RSVPs, updating orders. Representative of PR group for on-boarding for new hires during orientation to include introduction of department and new hire materials related to PR. Obtain, organize all invoices for all media payments, event expenses, and following through process for timely payments for all PR expenses. Manage process and communication related to all sponsorship submissions to include submitting denial letters as requested. Responsible for operation in and out of the firm store. Monitor and coordinate communication related to State Bar Reviews. Organize and coordinate for submissions to the firm Newsletter. Other duties as assigned. Bachelor’s degree in Hospitality Management or Public Relations is preferred. Should have 0-2 years of professional experience, preferably in events and meetings.
