Special Events Manager
The candidate will lead event planning and execution meetings with internal and external event stakeholders regarding event goals to ensure key decisions are made and responsibilities relating to the event are assigned and executed on time and within budget. Provide “end-to-end” management for all events and projects to include event process, facility/venue selection, making arrangements for firmwide audio/visual, food/beverage, entertainment, and coordination of on-site event support (when necessary), registration/greeting process, including name tags, signage, and giveaways. Plan for potential scenarios that could impact the integrity of any given event. Support research and selection of contracts/agreements with all venues and suppliers. Manage relationships with vendors to secure discounts and maintain excellent service standards. Develop and manage event budgets. Ensure timely payment of all invoices. Ensure all events remain within or under budget. Create invitations, handouts, and presentation materials in coordination with the firm’s Marketing teams; assist with the Continuing Legal Education (CLE) accreditation process in coordination with the firm’s Talent Development team when applicable. Coordinate with the firm’s Marketing team to ensure events are adequately highlighted/promoted across firm channels. Schedule post-event debriefs with event stakeholders to determine if goals were met, document outcomes for future planning, and report monthly on planned and executed events. Provide post-event feedback by following up with attendees and non-attendees. Notify appropriate relationship managers of attendance with specific action items to include a follow-up drip campaign in coordination with the Marketing team. Review and analyze evaluations from the website and social traffic generated from events as well as vendor performance. Maintain master event calendar and keep detailed records of all events within the firm’s CRM system. Maintain a working knowledge of the complex needs of a wide variety of events and geographic locations. Identifies issues and provides suggestions to day-to-day problems; prioritizes and effectively completes daily tasks. Effectively communicates through written and verbal forms; shares information when asked and understands the appropriate level of confidentiality. Gives positive feedback to others; is developing skills to mentor others; asks questions; is assigned work; focuses on day-to-day tasks. Attends required training; accepts planned change willingly. Works as a member of the team and understands the goals of the team; understands that team members’ needs, ideas, and solutions vary. High school diploma or equivalent. Should have Bachelor’s Degree; Licenses and/or 3+ years of event planning, business development, or marketing experience; 5-7 years of experience in law firm event planning, business development, or marketing.
