Wealth Client Administrator III
The candidate will coordinate with the Relationship Manager (RM), Fiduciary Advisor (FA), and all other team members to accomplish the daily administrative details and duties of each account. Review daily cash balances and manage account needs and overdrafts. Research and respond to client inquiries. Address questions that arise from other advisors and respond appropriately in a timely manner; keep other team members informed of status and progress. Cultivate and maintain client relationships. Communicate appropriate information as required. Prepare Discretionary Distribution memos. Solicit budget information from client and prepare analysis. Prepare Discretionary memo for review and signature. Attend Discretionary Distribution Meetings as necessary. Oversee distribution and proper documentation in account records and establish ticklers as needed. Prepare account opening documents. Track receipt of account assets. Set up ticklers, statements, interested parties and account affiliations as needed. Organize file information and keep clear records for accounting purposes. Assist Fiduciary Advisor with annual account reviews. Attach annual reports to account reviews. Scan and mail annual client review letters. Check for recurring distributions from accounts, ticklers and status of DPMs. Assist tax department with obtaining any additional information needed. Work with FA/PCA to determine from which account tax is to be paid, communicate to tax department and coordinate necessary ticklers. Manage cash or communicate anticipated cash needs to Investment Officer. Assist RM and FA as needed on projects and compliance requests. Coordinate with PCA to accomplish/manage required daily functions. Attend weekly team meetings. Maintain to do list and present work status report. Relay client concerns and status of accounts. Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the Company’s Risk Appetite. Identify risk-related issues needing escalation to management. Promote an environment that supports diversity and reflects the firm brand. Maintain the firm internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable. Complete other related duties as assigned. Bachelor's degree and 2+ years’ investment, trust or fiduciary experience working with high net worth clients, or in lieu of a degree, a combined of 6+ years’ higher education and/or work experience, including of 2+ years’ investment, trust or fiduciary experience working with high net worth clients is required. MBA (Master’s degree in Business Administration) or JD (Juris Doctor) is preferred. CFP (Certified Financial Planner) and/or CTFA (Certified Trust & Financial Advisor) certification is preferred.
