The candidate maintains calendars and schedules meetings. Types of a variety of legal documents and templates (at the direction and under the supervision of the CLO and/or ACLs) using styles and formats. Responds to all communications and emails promptly. Prepares and submits expense reports on a timely basis. Assists with the review, processing, and submission of external legal and other invoices. Assists with preparing and placing legal holds, contract administration, review, and follow-up as requested. Assists with the creation and maintenance of legal hold and/or contract database and original files. Maintains paper and electronic files for projects. Ensures all correspondence and documents are proofread and have a professional appearance and are organized in a clear, concise, and professional manner with correct spelling, punctuation, and grammar. Maintains and updates project management logs and reports for all assigned projects through the resolution of projects and for team workloads. Serves as the first point of contact for process servers, inquiries, or issues concerning subpoenas, garnishments, or other legal matters, including maintenance of service of process log. Maintains confidentiality in all the company's matters. Should have an Associate degree or equivalent, and 5+ years in the legal field, either as a legal secretary or legal assistant and E-Billing, Board Portals, Westlaw, LEXIS, Lien, UCC Searches, and Florida Courts and business filing portal, pacer, and other court and administrative agency docketing portals. Must have strong organizational skills, an online expense reimbursement system such as Concur, and demonstrated ability to adapt to new situations and responsibilities.
